How It Works

From a photographed receipt to a trusted record.

The process is deliberately simple at the edge and rigorous underneath. Someone takes a photo. The platform does the reading, classification, allocation and checking. A person reviews only what matters.

01

Capture

A receipt is photographed at the supply counter, an invoice arrives by email, a statement is uploaded from accounting. Every document enters the same pipeline regardless of how it got there.

  • Mobile photo capture from the field
  • Email and upload intake
  • Supplier and statement documents

02

Understand

The document is read line by line. Each item, quantity, unit price and tax is separated out, and the product behind the description is identified as a material category rather than a string of text.

  • Line-item extraction, not just totals
  • Product and material understanding
  • Supplier and date recognition

03

Allocate

Items are associated with the project they belong to and the cost code that describes them. A single mixed purchase can be split across several jobs and categories.

  • Project association
  • Cost code assignment
  • Split allocation across jobs

04

Validate

Every decision carries a confidence score, and business rules decide what may proceed automatically. Confidence measures certainty. Business rules manage risk.

  • Confidence scoring on each decision
  • Threshold and value-based rules
  • Exception queue for review

Confidence and approval rules

  • Confidence ≥ 95% and under $1,000Posts automatically
  • Confidence below 95%Routed to review
  • Any item over $1,000Requires approval
  • New vendor or new productRequires approval

Confidence measures certainty. Business rules manage risk. Thresholds are configurable.

05

Connect

Approved records synchronize into the accounting and construction systems already in use, so the platform adds intelligence rather than another disconnected ledger.

  • Accounting synchronization
  • Construction management alignment
  • Complete audit trail

06

Analyze

With structured records in place, spending becomes analysable: by project, by cost code, by supplier and by material category, and, over time, across the wider network.

  • Project and portfolio analysis
  • Supplier and material views
  • Foundation for network intelligence

Human review

Automate the routine. Review what matters.

Automation is bounded by rules the business controls. A typical rule auto-processes an item only when confidence is at or above 95% and the value is under a set threshold. Everything else is reviewed.

Confidence measures certainty. Business rules manage risk.

Rule

Auto-processed

High confidence and low value. Recorded, coded and synchronized without interruption.

Rule

Flagged for review

Lower confidence, higher value, unusual supplier or unclear project. Routed to a person.

We will run the walkthrough using the kinds of receipts, invoices and cost codes your business actually handles.
